The buying loop on one card

  1. 1Prepare 8 numbers - height to drawings
  2. 2Read the itemized quote - audit the lines
  3. 3Confirm free documents - DoC to HDG report
  4. 4Approve drawings - starts the 15-25 day clock
  5. 5Balance against B/L - documents travel first
  6. 6Open, photograph, check 5 points

Step 1 · Before the RFQ

8 Things to Prepare Before Requesting a Quote

Vague RFQs get vague prices. These eight inputs turn your first email into a fixed, itemized quote within 24 hours.

1 · Height & levels

Climb height and number of ladders or levels. Floors or platforms change the platform plan.

2 · Quantity

Total units and phasing. Tiers at 10 and 50+ change the per-meter price.

3 · Material

HDG Q235B default; SS304 ≈1.8x; SS316 ≈2.5x for chloride environments.

4 · Surface treatment

Hot-dip galvanized to ISO 1461 (85-100 μm) unless the spec says otherwise.

5 · Destination port

Sets sea freight ($280-$550 for a 6 m unit to most major ports) and document set.

6 · Standard & certification

OSHA / EN ISO 14122-4 / AS 1657 / BS 4211 / Singapore WAH - the install country decides.

7 · Installation conditions

Wall or floor mount, obstruction, top-exit type (walk-through vs side-step).

8 · Drawings

Anything you have - PDF, DWG, marked photo. Free review, no design fee.

Step 2 · Reading the Quote

How to Read an Itemized Quote Like an Auditor

A single-total quote hides the four places margins move. Here is a representative 6 m HDG caged ladder quote - the same structure you will receive - with what each line tells you.

LineAmountWhat to Check
Ladder 6 m HDG @ $95/m$570Per-meter base against the geometry: hoops 40×5 @ ≤1500 pitch, straps 30×3, rungs Φ20 @ 280.
Walk-through exit set$90-$250Handrail and guardrail included - or billed later as "site kit".
Safety gate$60-$180Self-closing, mounted hardware matching ladder material.
Export packingIncludedShould read included. A separate packing line is where hidden cost lives.
Compliance fileIncludedDoC + MTC 3.1 + weld + HDG records + trial-assembly photos - free, not an upsell.
Sea freight (6 m unit)$280-$550Port-dependent; we quote CIF or hand to your forwarder at FOB.

Compare quotes on identical geometry - the table above is the checklist. See full per-meter pricing and the cost breakdown page.

Step 3 · The Compliance File

5 Documents That Ship Free With Every Order

These are not extras. They are the five gates of our shop QC, printed and emailed before the container is sealed.

Declaration of Conformity

States the governing standard - OSHA 1910.23/28, EN ISO 14122-4, AS 1657, BS 4211 - as ordered for your market.

Mill Test Certificate 3.1

EN 10204 3.1: mill-tested chemistry and strength for the steel actually used - not a generic 2.1 declaration.

Weld Inspection Record

Welds checked to ISO 5817 Level C - hoop-to-strap and strap-to-stile joints included.

HDG Coating Report

ISO 1461 hot-dip galvanizing, 85-100 μm, with thickness readings including repaired cut ends.

Trial-Assembly Photos

Every ladder assembled in the shop and photographed before packing - the top-exit joint verified before you see it.

Records Kept 10 Years

All five documents are retained for a decade - re-issued on request for audits, claims or resale.

Step 4-5 · Production & Payment

Payment: T/T 30% + 70%

30% deposit starts drawings; 70% balance releases the shipment against the bill-of-lading copy. Your exposure window is capped at the deposit until physical goods exist and are photographed.

Incoterms: who does what

FOB - we clear export and load; your forwarder sails it. CIF - we add sea freight and insurance to your port. Either way the compliance file travels with the documents, ahead of the steel.

Step 6 · Arrival

Receiving Your Ladder: 5-Point Arrival Checklist

Fifteen minutes at container opening saves weeks of correspondence later. Photograph everything as you go.

1. Count against the packing list. Bundles, gate boxes, exit sets, bolt kits - line items on the list, pieces on the floor. Photograph the sealed container before and after opening.

2. Match geometry to the approved drawing. Hoop pitch ≤1500 mm, cage Φ700, rung pitch 280 mm - the trial-assembly photos in your file show what the ladder looked like standing; compare joints, not memories.

3. Scan the HDG surface. Uniform matte gray, no bare patches at cut ends or weld repairs. Anything suspicious: photo + thickness reading if you have a gauge; the HDG report gives the shop baseline.

4. Check the document wallet. DoC, MTC 3.1, weld record, HDG report, packing photos - already emailed, but the paper set should match the container. Customs and site inspectors ask for these first.

5. File the claim window. Damage or shortage: photos plus packing list within days, and we fabricate replacements to the same drawings. Ten-year record retention means your order file never goes cold.

Cage Ladder Buying FAQ

What is the minimum order quantity for a caged ladder?
One ladder. Factory-direct MOQ is 1 unit - a single 6 m caged ladder ships with the same compliance file as a 50-unit project. Volume pricing tiers start at 10 units and deepen at 50+.
What are the payment terms?
T/T: 30% deposit with the purchase order, 70% balance before shipment against the bill-of-lading copy. The deposit starts engineering drawings; the balance releases dispatch. If your company needs a different split, state it in the RFQ and we confirm on the quote.
Can I order from my own drawings?
Yes. Send whatever you have - architect PDFs, DWG files, even a marked-up photo. Drawing review is free and an engineer confirms dimensions, standard and any corrections before you pay the deposit. OEM and private-label programs are available for distributors.
How is a caged ladder packed for sea freight?
Sections are bundled with cage hoops nested and strapped; small parts (gates, bolts, exit sets) go in marked boxes on the same pallet. Export packing is included in the quote, not billed separately, and packing photos are part of the document pack.
What does sea freight cost and how long does it take?
For a 6 m caged ladder, sea freight runs $280-$550 to most major ports. Transit time depends on destination - quoted per sailing at order time. We can quote CIF to your port, or hand documents to your own forwarder at FOB.
Which documents ship free with every order?
Five, in one file: Declaration of Conformity; EN 10204 3.1 Mill Test Certificate; weld inspection record per ISO 5817 Level C; hot-dip galvanizing report per ISO 1461 (85-100 μm); and trial-assembly photos taken in the shop before dispatch. All records are retained 10 years.
What if something arrives damaged or missing?
Photograph the container opening - that evidence protects everyone. Check items against the packing list, then run the 5-point arrival checklist on this page. We fabricate replacement parts to the same shop drawings, and the 10-year record retention backs any later claim.
How long from purchase order to dispatch?
15-25 working days after drawing approval, including hot-dip galvanizing and trial assembly. The clock starts when you approve the shop drawing - approving drawings within 48 hours keeps the whole schedule tight.
Can I order one ladder as a sample before a project?
Yes - MOQ 1 exists exactly for that. Order a sample against the project specification (same material, same cage geometry) so what you approve is what the project receives.
